Information for Health Care Providers

What is the San Diego Regional Immunization Registry (formerly All Kids Count, or AKC)?
The San Diego Regional Immunization Registry is a countywide electronic immunization information system that gives providers shared access to the full shot records of San Diego County children in both public and private sectors. It is a tool that will help you better manage your immunization practices and increase patient satisfaction.

Why is a Registry important?
One out of every three children in San Diego County receives immunizations from more than one healthcare provider before age 3. Often, this results in lost or incomplete immunization records, which can lead to failure to administer needed vaccines or re-administration of vaccines the child already received.

The Registry now contains the immunization records of nearly 2/3 of children 5 years of age and under in San Diego County. The Registry can reduce the effects of "record scatter," making it easier for public and private providers, including public health clinics, to give needed vaccines.

How does the Registry help medical providers?
Saves time locating immunization records
You can see a child's current record, which contains all the immunizations the child has received no matter where they were given. No more calling, writing for old records or searching through your charts to give information to other providers.

Determines vaccines needed by each patient according to the AAP/ACIP schedules
Avoid missed opportunities to immunize patients who are not up-to-date. Using shot information stored for the patient, the Registry calculates the vaccines and dates the child will need next. The Registry is regularly updated to follow the latest AAP/ACIP recommendations according to the Childhood and Adolescent Immunization Schedule.

Easily and accurately documents and prints immunization records
Saves time documenting and rewriting immunization records. You can easily access and print the record in a format that meets state and school requirements.

Produces reminder and recall mailings to patients and parents
The Registry compares each child’s immunization records with AAP/ACIP guidelines and generates mailing lists and labels for patients who are due for shots or are late for shots. Use this automated feature to remind parents of needed immunizations and coordinate appointments with well child visits.

Produces reports for internal and external audits
With a complete and accurate record of all immunizations received by your patients in one place, there is no need to pull charts. You can accurately assess the immunization coverage rate in your practice while reducing time and paperwork needed to complete audits.

Manages vaccine inventories
The Registry can maintain and monitor your vaccine inventory. It allows you to automatically determine vaccine usage for VFC reports and for purchasing vaccines, saving you time and money.

Comments from Providers:

Connie Espinosa from Chase Medical Group:
"I recommend that practices look into using the registry. Once you start using it, you'll never want to go back to doing it manually. It saves the office so much time. Once the registry is in place, you are able to spend more time with the patients and less time doing the paperwork. The best part is that the patient will have updated information on their immunizations."

Elizabeth Sandoval from Clinica Medica Central:
"It is so much easier when you have to order vaccines. What would take almost ten hours a week to do is done in about an hour using the registry."

What do patients/parents think about participation in the Registry?
Parents are very pleased to have their child's immunizations stored in one central database and to be reminded when shots are due. The ease with which they can get an official record for many purposes at any time greatly improves patient satisfaction.

What about patient confidentiality?
Unless the parent/guardian elects to make the shot record confidential, the record is accessible to the child's healthcare provider and other authorized personnel as specified in California Health and Safety Code, Section 120440, in order to facilitate appropriate, on-time immunization.

A parent who does not want the child's immunization records to be shared by participating providers may sign a refusal form, called a "STOP/START SHARING REQUEST."

How do I participate?
Join other providers participating in the San Diego Immunization Registry and enjoy the benefits that it offers. The Immunization Program will supply the software and its maintenance, train and support your staff, and assist you with reports at no cost to you. For a demonstration, or further information, call:
